Why Every New Business Needs a Toll Free Number

Of the many tools available to new businesses, few can have as significant an impact on the company’s public image as a toll free number with a virtual PBX system. These two elements combine to give a fledgling business both a professional public image and the sense that the company is well-established and technologically sophisticated, even when these are more carefully created illusions than immutable facts. Adding to the appeal of such a system is the fact that it can grow seamlessly as a business does and can, in fact, be used as a low-cost tool to aid in the creation of a client database. When the return on investment is considered, it should be apparent why a toll free number and virtual PBX system are each critical tools rather than convenient luxuries for a new business.

One of the primary challenges for a new business to address is to find an effective balance between advertising and promotion and reasonably managing costs. A toll free number presents the image that the business operates on a national level or, at least, that the business is successful enough already that it can bear the cost of communications with its customers. As the costs of telecommunications continue to fall, potential customers have grown to expect that “serious” businesses will provide them with a toll free number; local-only numbered business are just that – local. This, of course, is more or less important depending on the type of business in which the new enterprise is engaged.

Similarly, a virtual PBX system allows the company to not only route calls to the appropriate individuals, both in and out of the office, but to create electronic turnstiles between departments, giving the illusion that a small operation has far more employees than it does in reality. When used effectively, a company with as few as one or two employees can put forward the image of a much larger and more diversified business. Because these types of systems do not require any significant capital investment into equipment, they are a cost effective way for even the most cost-conscious businesses to put forth a big image for a limited cash outlay. As with a toll free number, presenting a specific image is integral to success for a new business.

When these two options are combined, a toll free number and a virtual PBX system, the result is even more powerful as each leverages the others benefits and capabilities. Offering customers a toll free way to contact them is a powerful tool, but if those customers call into a comprehensive and technologically advanced phone system, they are more likely to unconsciously assume they are dealing with an established business. The current economic state speaks to the notion that creating the perception that a new business is in fact solid, established and tested can make a significant difference. This, again, is more or less important depending on the specific nature of the business, but customers generally prefer to feel as if the business with which they are dealing is not just getting their feet wet with that customer. On the contrary, customers are more likely to be satisfied with the same product or service if they feel it came from an established source.

In addition to these more fundamentally important advantages, using a toll free number and virtual PBX boasts other benefits. Building on the theme of low capital investment, this kind of system is highly scalable. As the new business grows, and call volume follows, a toll free number that is properly routed can give a company the ability to efficiently deal with increased demand. While it is certainly possible to adapt to the addition of a more advanced telephone solution after the period of initial growth, it is frequently the case that companies that have established good procedures early experience fewer growing pains.

A major advantage of a toll free number linked to a virtual PBX is that it also allows a new business to capture incoming numbers (and sometimes names and corresponding address as well) and automatically create a lead database. When a customer calls a toll free number, they are signaling potential interest; a company that can create leads this way is at a distinct advantage.
